We want you to be completely satisfied with MDPlix. If things don't work out, our refund policy is designed to be fair to both parties, ensuring clear rules for clinic subscriptions and patient services.

At MDPlix, we are committed to providing exceptional service to our healthcare partners. We understand that circumstances may change, and we have established this Refund and Cancellation Policy to ensure transparency and fairness in all our financial interactions. Our goal is to balance the needs of your clinic with the operational costs of maintaining a high-availability infrastructure.

For new clinic subscriptions, we offer a 7-day 'cooling-off' period. If you are unsatisfied with the software setup or find that it does not meet your specific requirements within the first week of activation, you are eligible for a full 100% refund of your subscription fee, no questions asked. This period is intended for you to explore the platform's core features in a live environment.

If a cancellation request is made between 8 and 30 days of service, we provide a prorated refund. In such cases, we deduct the equivalent of one month's fee at the non-discounted monthly rate and refund the balance of your annual payment to your original payment method. For Enterprise or 'Clinic 360' tiers, a higher administrative fee may apply to cover the cost of custom integrations and data migration work performed during onboarding.

Certain one-time costs incurred by MDPlix on your behalf, such as initial setup fees, custom domain purchases, and bespoke development work, are strictly non-refundable. Similarly, digital marketing budgets paid to third parties (like Google or Meta) and purchased SMS or WhatsApp credits cannot be refunded once the campaigns are live or credits are delivered. Hardware items, such as prescription printers or biometric scanners purchased through our partners, are subject to the manufacturer's specific return and warranty policies.

For patient appointments booked through the MDPlix platform, a full refund is processed if the patient provides more than 24 hours' notice. If an appointment is cancelled with less than 4 hours' notice, a no-show fee may apply, and no refund will be issued. Clinical services, such as tele-consultations that have already commenced, are non-refundable. However, if a healthcare provider cancels an appointment, the patient will always receive a 100% refund regardless of the timing.

We guarantee 99.9% system uptime. In the unlikely event that availability drops below 99.5% in a given month (excluding scheduled maintenance), clinics are eligible for a 5% service credit towards their next renewal. Claims for service credits must be submitted via our support portal within 15 days of the incident, supported by relevant logs or error screenshots.

Once a refund is approved by our billing team, it is initiated immediately. Refund processing typically takes 5-7 business days for credit cards and net banking, while UPI refunds are often processed within 24 hours. On your bank statement, these transactions will appear as 'MDPLIX TECH' or 'WOCTOR HEALTH'. For international payments, the refund will be processed in the original currency, but final settlement amounts may vary slightly due to fluctuating foreign exchange rates applied by your bank.

In the event of a dispute, we encourage clinics to contact our formal grievances officer at billing@mdplix.com before initiating a chargeback through their bank. Unauthorized chargebacks lead to immediate account suspension and may result in the permanent termination of service. We aim to resolve all billing disputes amicably within 14 business days.
